The Director of Operations serves to advance the mission of the Pennsylvania Trauma Systems Foundation (PTSF) by managing daily operations and supporting the advancement of the PTSF strategic plan and innovative initiatives    Responsibilities include financial, human resources, marketing, communications, and education strategies.  This position supervises the Finance Specialist and Administrative Assistant and reports to the PTSF Executive Director.  This position can work remotely from home the majority of the time with periodic in-office meetings.


  • Strategy and Innovation
    • Strategic Planning & Board Support
      • Provides support/guidance for both internal and external committees as directed by Executive Director.
      • Assists the Executive Director with creation of various reports and presentations for use with the Board, committees, and outside organizations as assigned.
      • Leads strategic planning process logistics including securing a strategic planner, meeting preparations, and strategic plan execution.
    • Innovation
      • Works with staff, the PTSF Board and external partners to develop ideas for projects that may enhance PTSF’s ability to fulfill its mission including internal operations, education, and regulatory efficiencies.
      • Manages special innovation projects as directed by the Executive Director.
    • Human Resources
      • Supervises the Finance Specialist and Administrative Assistant positions including holding staff accountable for mutually agreed upon goals and performance expectations.
      • Supports Executive Director in developing new and creative staffing plans.
      • Supports staff recruitment by advertising positions, screening applicants, and hiring recruiters.
      • Supports onboarding of new staff.
      • Works with supervisors to assure job descriptions remain current and accurate.
      • Collaborates with Finance Specialist to ensures PTSF board and staff are covered with appropriate insurance policies. (i.e. D&O, E&O, Cyber.)
      • Works with supervisors to assure PTSF Policies (Board, Staff, Operations, Accreditation, Registry) remain current and are incorporated appropriately into Employee Handbook.
      • Assures staff are educated and compliant with all HR policies and Employee Handbook information.
      • Supports organizational goals related to Diversity, Equity, and Inclusion.
    • Finance:
      • Drafts an annual budget in collaboration with Finance Specialist and Executive Director for Finance Committee and Board approval
      • Drafts monthly finance reports in collaboration with Finance Specialist for reporting to Finance Committee and Board of Directors.
      • Assures PTSF Finance Manual is kept up to date and participates in onboarding of PTSF Board Treasurer.
      • Actively participates in the Financial Review/Audit process.
      • Works with PTSF Finance Committee to assure PTSF funds are managed by a reputable investment company that delivers appropriate customer service and competitive fees.
      • Acts as staff liaison to PTSF Finance Committee.
      • Evaluates employee benefits package annually for cost effectiveness
    • Communications
      • Develops and implements an ongoing PTSF Communications Plan including, but not limited to, marketing and branding guidelines. This includes securing appropriate vendors to provide print, digital and electronic communication platforms, and media.
      • Maintains online Survey Monkey Software and reports findings to Foundation staff, PTSF Board of Directors and stakeholders on an agreed upon schedule.
      • Manages statewide communications including emails, memos, and newsletters.
      • Manages the annual committee membership query.
      • Manages hospital and board conflicts of interest documents and annual queries.
      • Acts as PTSF liaison to Conflict of Interest Committee, Nominating Committee, and other committees as assigned.
    • Education
      • Leads annual PTSF Conference in collaboration with PTSF Staff and vendors.
    • Maintains active membership in professional organizations that support the work of PTSF as directed by Executive Director. 
    • Performs other duties as assigned/requested.


    Required Skills/Education

    • Master’s degree.
    • Minimum of five years of experience in managing organizational operations.
    • Demonstrated staff management and effective leadership skills.
    • Project management and organizational skills.
    • Demonstrated interpersonal, written, and verbal communication skills including the ability to give formal presentations to varying types and sizes of audiences.
    • Strong analytic and problem-solving abilities.
    • Ability to promote and facilitate change management.
    • A desire to be a high functioning team member in a small office environment that places an emphasis on ethical values and integrity.
    • Capable of delivering 100% customer service to Board members and Stakeholders
    • Proficient use of Microsoft Office Suite—WORD, Excel, Outlook, PowerPoint and Access


    Preferred Skills

    • Membership and active involvement in relevant professional organizations.
    • Previous healthcare experience and trauma center related experience.
