The Accreditation Coordinator works under the direction of the Director of Accreditation and performs a variety of specialized and administrative functions to support the Pennsylvania Trauma Systems Foundation (PTSF) accreditation process. This position works closely with other accreditation team members including the Managers of Accreditation and Manager of Trauma Center Development. The Accreditation Coordinator represents PTSF in a positive manor, promoting its mission and vision while creating helpful relationships with customers and stakeholders.  This position can work remotely 100% of the time.

  • Coordinate activities of the accreditation process
    • Support Site Survey Scheduling
      • Assist in communications and arrangements with Hospitals
      • Manage Save-the-Date communications
      • Coordinate survey day schedules for PTSF Staff, Surveyors and Hospitals
      • Maintain logistic documents
    • Support the Application for Survey (AFS)
      • Assist in communications with Hospitals and Surveyors
      • Support software access for Hospitals and Surveyors
      • Track application change requests
  • Support the Accreditation Team
      • Maintain Outlook Calendars related to site survey activities  
      • Maintain accreditation process log
      • Manage and coordinate travel logistics
      • Maintain and submit expense documents
      • Assist in Site Survey packet preparation
  • Support the Site Surveyors
      • Establish and foster relationships and maintain communications
      • Maintain current CV, biographies, and contact information
      • Obtain and track required contracts and related documentation
      • Manage and coordinate travel logistics
      • Manage orientation scheduling
      • Facilitate AFS log-in communications
  • Support the PTSF Board Deliberation Process
      • Download site survey documents from survey software
      • Assist in deliberation packets preparations, including redaction
      • Maintain post-deliberation documentation
      • Review deliberation reports
      • Assist in deliberation outcome communications
  • Coordinate the maintenance of Accreditation Resources such as but not limited to: manuals, templates, and tracking documents
  • Coordinate resources/supplies needed for Accreditation
  • Support the Manager of Accreditation with Standards Committee
  • Support the Manager of Trauma Center Development with Level III & IV Workgroup, Policy and Procedure Committee and Diversion Reports
  • Works collaboratively with PTSF staff and external vendors
  • Performs other duties as assigned/requested.

Required Skills/Education

  • High school diploma or equivalent
  • Five years previous experience involving project management and administrative support.
  • Robust organizational skills including multi-tasking and time management
  • Proficient use of Microsoft Office Suite—SharePoint, Word, Excel, Outlook, PowerPoint, Bookings, Forms, Planner, Teams; Adobe Creative Suite—Acrobat and InDesign
  • Demonstrated interpersonal, verbal, and written communication skills
  • Strong problem-solving abilities including leveraging technology to enhance existing workflows
  • Excellent attention to detail
  • Ability to work independently and within a team
  • Ability to promote and facilitate change management
  • Capable of delivering excellent customer service to Board members, Surveyors, Hospital Staff, Stakeholders and PTSF Staff

Preferred Skills/Education

  • Degree or certifications in healthcare related fields
  • Experience in the healthcare arena, or trauma center-related experience
